Job Description

McLane Global is growing and we have an immediate opening for a Procurement Assistant on-site at our Houston office. We are looking for a candidate to join the team as an entry-level employee with room for growth and advancement within the department. The ideal candidate will have customer service, administrative, clerical experience and preferably some knowledge of international logistics, supply chains and procurement.

Role Responsibilities

  • Create, issue Purchase orders, and follow up with suppliers on production, departure, and arrival date confirmations.
  • Maintaining order records, adjusting records in ERP such as cost, quantities, accruals, departure and arrival dates, destination Port, payment, and delivery terms.
  • Collect, review, amend, approve, and file Commercial documents within ERP system or with appropriate external parties.
  • Review and initiate payment requests for approval and submit them to Finance department. Track payments and confirm payments to suppliers.
  • Track containers and vessel voyages, maintain arrival dates to destination Port, and update in ERP system as needed.
  • Follow up with suppliers on confirmed shipping dates, purchase order confirmations or changes to the order.
  • Create daily and weekly reports for upper management and sales departments.
  • Manage vendor claims and credits when shortages and damages occur.
  • Act as liaison and collaborate with cross-functional teams in support of Procurement, Marketing, Sales and Quality Assurance activities.
  • Initiate new item setup and artwork requests with Marketing department and Quality Assurance.
  • Support buying team with sourcing and invneotry management activities.
  • Assist with internal product evaluations.
  • Assist and coordinate with Buyers and management of close dated, expired, and slow-moving products.
  • All other duties and tasks as assigned.

Position Requirements

  • Active learner, with good initiative, strong sense of business urgency with excellent follow-up skills.
  • Intermediate to advanced knowledge of Microsoft Office Suite.
  • Prior experience with ERP system preferred (Microsoft D365, Oracle, SAP or similar).
  • Excellent verbal and written communications skills.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Highly organized, detail oriented especially with document management and data records maintenance.
  • Quick learner, self-motivated, analytical, and proactive problem solver.
  • Collaborative team player able to work in multi-cultural environment.

WORKING CONDITIONS (Include Physical Demands)  

  • Keyboarding – (Up to 8 hours per day) Entering text or data into a computer by means of a keyboard. Devices include traditional keyboard, 10 keypad, touch screen and other  
  • Sitting/Standing – (Up to 8 hours per day) The ability to alternate between sitting and standing at a desk is present when a worker has the flexibility to choose between sitting or standing as needed when this need cannot be accommodated by scheduled breaks and/or lunch period  
  • Communication Verbally – (Up to 8 hours per day) Expressing or exchanging ideas by means of the spoken word to impart oral information to clients or the public and to convey detailed spoken instructions to other workers accurately, loudly, or quickly
